  • Parking instructions and any transportation options (valet, charter bus, etc.)
  • Dress code (yes, people will ask!)
  • A FAQ section covering plus-ones, kids, and anything else they might wonder

Pro Tip: If your venue has quirks—like valet-only parking or a long walk to the ceremony site—let them know. The clearer your communication, the more relaxed and ready your guests will be.

2. Space to Celebrate

Your venue is more than a pretty backdrop. It sets the stage for your guests to relax, mingle, and make memories. And while cozy spaces can feel intimate, packed ones? Not so much.

A packed venue can feel more chaotic than celebratory so keep comfort top of mind. Avoid cramming tables into every corner, and don’t sacrifice space for a dance floor. A crowded room or cramped seating will dampen the vibe fast. 

To avoid this, be realistic about your guest count and your venue’s capacity. If you’re bumping up against its limits, it’s time for some tough love on the guest list. Trust us, fewer guests in a comfortable space beats more guests in a cramped one every time.

Nothing throws off the vibe like a choppy timeline. A smooth, well-planned schedule is key to keeping things moving and your guests happy. No one expects a wedding to run with military precision, but a choppy or chaotic schedule? Guests will notice.

Here’s the deal: a thoughtful timeline ensures your day feels seamless, even if it’s not down-to-the-minute perfect. That means accounting for beauty services, photos, and travel between venues if necessary. And if you’re dreaming of a party bus photo session, make sure that is added into your overall timeline so guests aren’t waiting too long for your grand entrance.

A solid timeline helps every part of your day flow naturally. Without it, even small hiccups can cause big delays. For example:

  • Beauty prep running over cuts into pre-ceremony photo time.
  • A long cocktail hour leaves guests wondering if dinner got lost.
  • Trying to squeeze a bus trip for photos into your timeline can push dinner so late that “hangry” becomes the mood of the night.

4. The Temperature

Have you ever sat at an outdoor ceremony in 100 degree heat? How about dinner in a room that is 65 degrees? Neither scenario is enjoyable and the guests will notice and complain (not to you, but to each other).

If you are getting married outdoors, consider the weather during that time of the year- will it be super hot? If so, add umbrellas, drink stations, and consider a cool place for guests to hang out pre-ceremony. If it is cold, offering blankets and a hot cider can go a long way to help guests feel comfortable.

Temperature might seem like a small detail, but it really does have the power to either elevate the guest experience, or leave a not-so-great lasting impression.

When it comes to food, guests remember two things: if it was amazing or if it missed the mark- and they will remember if it was bad, cold, or took way too long to come out. While every wedding doesn’t need 5-star quality food (unless that is your vibe and in your budget!), the food is important, as well as making the dinner experience enjoyable for all of your guests.

Beautiful dinnerware, ample portions, and attentive service all go a long way. During your tasting, make sure you enjoy the food and be up front about any concerns you have about portion size, presentation, or substitutions- your caterers (and the rest of your vendors) truly want you to be happy with their services!

The bar is another area where you can elevate the guest experience. Long wait times can leave guests feeling frustrated- spring for an extra bartender, set up a satellite bar, and have passed cocktails right as guests enter. This can help guests grab a drink quickly and focus on the apps and conversation!

6. Music & Atmosphere

What’s a wedding without music? The right soundtrack transforms your celebration, whether it’s a live band, a killer DJ, or a mix of both.
